Why are you processing my personal information?
- The DfI Bus Policy Branch is processing your information to administer the Bus and Coach Operator Financial Assistance Scheme.
- The legislative basis for the processing of personal information is The Bus Operator (Coronavirus, Financial Assistance) Regulations (Northern Ireland) 2022 and section 1 of the Financial Assistance Act (Northern Ireland) 2009. Published February 2022
What categories of personal data are you processing?
The information processed is collected from your completed application form and contains the following:
- Personal information: Name, Address, Date of Birth, Email Address, Bus Operator Licence Number, Nature of business (where applicable), Vehicle information, Financial Information, Accountant information and declaration, Bank Account Details, Declaration.
Where do you get my personal data from?
We will use the information provided by you to enable us to process your eligibility for a single payment under the Bus and Coach Operators Financial Assistance Scheme. The legal basis for processing your personal data is Article 6 (1) (e) of the UK General Data Protection Regulation whereby the processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller and in accordance with The Bus and Coach Operator (Coronavirus, Financial Assistance) Regulations (Northern Ireland) 2022 and under section 1 of the Financial Assistance Act (Northern Ireland) 2009 under section 1 of the Financial Assistance Act (Northern Ireland) 2009.
- Applications are made via the Bus and Coach Operators Financial Assistance Scheme portal hosted on the NICS consultation platform, Citizen Space. The Citizen Space Privacy Policy can also be viewed online.
Do you share my personal data with anyone else?
- We will share your personal data with the Driver and Vehicle Agency (DVA) to ascertain your eligibility for a payment under the Bus and Coach Operators Financial Assistance Scheme.
- DVA will use information from your Operator driver and vehicle records in order for the Department to cross check information given in this application against the driving record
- Data will be shared with AccountNI for the purposes of issuing payments to eligible applicants.
- Data may be shared with enforcement agencies, for example with the PSNI or other agencies with investigative powers, for the prevention, detection or prosecution of fraudulent applications.
- Data will be shared with EY Consulting who are assisting with the administration of this Scheme.
- We may also share this information with other bodies responsible for the audit or administration of public funds in order to prevent and detect fraud.
- We may also share this information with suppliers, other departments and the Education Authority to verify information supplied by applicants.
How long do you keep my personal data?
Data gathered under the scheme will be held for a period of six years after the closing date for applications for fraud and audit purposes. After this time it will be destroyed.
What rights do I have?
- You have the right to obtain confirmation that your data is being processed, and access to your personal data
- You are entitled to have personal data rectified if it is inaccurate or incomplete
- You have the right to object to the processing.
How do I complain if I am not happy?
If you are unhappy with how any aspect of this privacy notice, or how your personal information is being processed, please contact the Department’s Data Protection Officer at the address above.
